SAFETY AND HEALTH REGULATIONS FOR STAFF AND DELEGATES
EED collaborates with either Mansfield College or Harris Manchester College to host programmes with accommodation, catering, and function rooms. During the programme and residency at the college, EED staff and delegates (hereafter referred to as visitors) are obligated to adhere to the following rules. These rules apply to both colleges.
Safety Rules
- Admission: Mansfield College or Harris Manchester College will only admit persons to the premises who have been identified to them in advance as visitors.
- Conduct: Mansfield College or Harris Manchester College reserve the right to insist on the immediate departure of any visitor from the venue and/or premises if their conduct or behaviour is deemed unacceptable.
- Vehicular Access: Any vehicular access to the premises must be with prior written consent from Mansfield College or Harris Manchester College and confined to approved routes.
- Proper Use: Visitors shall ensure the proper and careful use of the premises, avoiding any activities that may damage the venue, premises, or neighbouring sites, or cause nuisance, annoyance, or disturbance.
- Alterations: No changes, additions, or alterations to the premises (interior or exterior) and/or its contents may be made without prior written consent from Mansfield College or Harris Manchester College.
- Safety Measures: Mansfield College or Harris Manchester College may enter any part of the premises at any time during the hire period to ensure safety. They reserve the right to interrupt or terminate the event if they believe there is a risk to the safety of visitors or other persons.
- Smoking Policy: Smoking or vaping is strictly prohibited within the confines of the colleges or its grounds.
- Compliance: Visitors must comply with all guidelines issued by Mansfield College or Harris Manchester College, including those related to power supply, lighting, fire safety precautions, and prevention of damage.
- Electrical Equipment: Visitors should ensure that any electrical equipment brought into the premises complies with UK standards. They should also check compatibility with the British electricity supply to avoid damage. Precautions at all times should include switching off and disconnecting electrical appliances when they are not in use and avoiding overloading the electrical circuits, especially the lighting circuit. Upholstered furniture meets fire retardation standards, and visitors are prohibited from using candles or any flammable substances in their rooms.
- Maintenance: All faults should be reported to the Maintenance Officer promptly. Visitors should refrain from using certain products on walls and adhere to guidelines regarding furniture and fittings.
- Security: Visitors should observe security measures, including access control, door locking procedures, and safeguarding personal property. Mansfield College or Harris Manchester College does not accept responsibility for loss or damage to personal property.
- Fire Safety: Visitors must familiarise themselves with fire exits and assembly points upon arrival. They must raise the alarm and follow evacuation procedures in the event of a fire.
Fire Safety Procedure:
– Every visitor must read the fire notice posted in their room.
– Visitors must familiarise themselves with fire exits, break-glass alarms, and fire extinguisher locations.
– Leave the premises swiftly, closing all doors, especially fire doors, as they leave.
– Alert the bursary staff or the Porter, as appropriate.
– If none of these is available, phone the fire brigade by dialling 999.
– Assemble in the designated fire assembly point and wait there until allowed to return to the room by the fire officer.
– Do not attempt to use an extinguisher unless certain of the cause of the fire and the type of extinguisher at hand, and competent to use it.
– Visitors should not interfere with smoke alarms, and any attempt to disable them will result in fines.
Medical Assistance
Mansfield College or Harris Manchester College will provide emergency first aid and guide visitors to available medical services. Visitors are encouraged to have their own medical insurance.
